So many times, a girl falls in love with a venue only to find that she can't quite fit everything (and everyone) into the space. I know, it has the perfect view, ambiance, style and she can't have her dream wedding anywhere else. But let's hit the pause button for just a minute and take a look at the logistics.
All venues have a room capacity limit. Typically, this number is calculated based on square footage of the space and a predetermined amount of space for each person in the room. (I won't bore you with the formula, let's just move on and take it at face value.) Logic says that you can fit more people in a room for a cocktail reception (read fewer and smaller tables with no chairs) than a seated dinner (large tables with chairs). And most couples do a great job fine tuning their guest lists so that they will not go over the maximum room capacity that is listed in the information kit provided by the venue.
However, you also need to realize that those room capacity numbers are typically based on guest seating arrangements only. Meaning you need to start subtracting from that number for each additional design feature and activity that will take place in your space. In other words, don't forget that you will need to include space for a dance floor, a DJ or band, two cake tables, a favor table (for a display or candy bar), a registration table, a gift table, and buffet tables. And, your guests are not sardines so leave plenty of room for easy flow in and around the tables.
All this is to say be realistic about how much and how many you can fit into your perfect space. And, when in doubt listen to your planner or the on-site contact because they know the space well. If they caution that you will need to keep your headcount to a certain number, take their advice. If your guests are uncomfortable, it won't matter if everything is dreamy and beautiful. Your perfect details and ambiance will be lost in the crowd.
